1.   Booking

In order to secure a booking with Mama Pacha Explorations, LTD., the Client must make a deposit of 30% of the total cost of the trip. This deposit is non-refundable. Once the deposit is processed and payment received, and by signing the booking form, the Client warrants that is aware of and accept the terms and conditions herein described.

In case of group bookings, the Client who signs the booking form in doing so warrants that will act on behalf of all the persons who are included in the booking and also acknowledges that all said persons are aware of and accept these terms and conditions.

Mama Pacha Explorations reserves the right to decline a booking at its SOLE discretion.

2.   Payment

The balance of the amount due must be paid to Mama Pacha Explorations no later than 60 days prior to the departure date. In the case of bookings made within 60 days of the departure date, the FULL AMOUNT of the total cost of the tour must be paid at once.

Payment can either be made online through our secure payment service which accepts all major Cards (Visa, MasterCard, Discover, American Express, Diners Club), wire transfer, check or direct deposit. Please note that there is a small fee assessed to all payments made with credit cards.

3. Revision Fees

A changing fee of $25.00 per transaction will be assessed for any change or revision made to a reservation. All changes to a booking must be confirmed by the person who signed the booking form. Mama Pacha Explorations will make every reasonable effort to accommodate changes, their availability are not guaranteed.

 4. Client Substitution

If a member of a group is unable to take part of the tour, you may be able to transfer the booking to another person, so long as a written notice is sent via email to Mama Pacha Explorations at least 30 days prior to departure. A $45 will be assessed, as well as any cost which will be imposed on Mama Pacha Explorations by our partners and providers in Peru for said changes.

 5. Cancellation Policy

At Mama Pacha Explorations we are committed to providing our clients with the best customer experience possible. Therefore, the Client may cancel a booking at any point provided we are properly informed about it. The 30% deposit made to book the trip is non-refundable. Therefore, for all cancellation purposes only the remainder 70% of the total cost is to be considered REFUNDABLE and subject to the cancellation fees. Bookings which are confirmed and paid in full and cancelled 60 or fewer days prior to the beginning of the tour are subject to the following cancellation fees:


                        60 – 31 days                 =          60% refund (of refundable amount)
                        30 -16 days                =          25% refund (of refundable amount)
                        15 days or fewer           =          NO REFUND


6.      Travel Documentation and Vaccinations

It is the responsibility of the client to have a valid passport and all vaccinations that may be required and/or recommended to participate on the trip. It is advised that you contact the proper travel authorities or healthcare provider for professional information.

At Mama Pacha we provide information about travel documentation and required/suggested inoculations. This information is provided in good faith and we do not accept liability for it.

7.   Physical fitness and age restrictions

The tours offered by Mama Pacha Explorations require participants to be physically fit enough to properly enjoy the trip. The tours include extensive walking, high altitude hiking, early morning departures, some late night activities, climbing stairs. It is therefore the responsibility of the client to carefully read the itinerary and assess his/her health and physical fitness by consulting with a healthcare professional before participating on any of the tours.

Unaccompanied minors (18 or under) are NOT accepted to participate on any of the tours by Mama Pacha Explorations. Minors may be taken into consideration to participate on a tour provided a parent or a guardian assumes ALL responsibility for the minor. Older teenagers may be considered to participate on a tour provided they are accompanied by a parent or guardian who assumes ALL responsibility for the minor.


8.   Travelers needing special assistance

If a traveler needs special assistance during the trip, then he/she should report it to Mama Pacha Explorations at the moment of booking the tour. As stated in the Physical Fitness section of these terms and conditions, the tours require the traveler to be physically fit so as to be able to properly perform the activities of the tour. Mama Pacha Explorations will make sure, within reason, to provide the necessary accommodations to travelers needing assistance; however, travelers hereby understand that given that in Peru businesses and most locations to visit are not required by law to provide proper accommodation to persons with disabilities, travelers needing assistance must be accompanied by a companion who is capable of and fully responsible for providing assistance to them.

Failure to report a disability or special assistance needed will constitute a breach of the terms and conditions of the tour.


9.   Illness

Travelers undergoing treatment for or suffering from an illness, disease, or any other condition that would be aggravated or affected by any of the activities included in the tour MUST make such disclosure at the time of booking and MUST make arrangements for the provision of any medication or other treatment during the tour. Failure to disclose the aforementioned information will constitute a breach of the terms and conditions of the tour.


10.   Code of Conduct

Tour participants hereby agree to abide all the laws and regulations of the locations visited during the tour. Participants who fail to observe said laws and regulations will be found in breach of the terms and conditions of the tour.

Tour participants agree to fully accept and abide by the authority and decisions of Mapa Pacha Explorations representatives, agents, and tour leaders. In the event that any of the aforementioned persons should deem the conduct or health of a tour participant before or after departure to likely to pose a danger to the participant himself/herself and or to the other tour participants, or if the conduct of the participant is deem to place an unnecessary burden on the comfort and tranquility of other participants, said participant may be excluded from all or part of the tour. In the case of a health issue arising during the tour, Mama Pacha Explorations will make the necessary arrangement for the participant to have access to the care that may be needed.


11.  In-country flight booking
Unless otherwise stated, Mama Pacha Explorations will use the Peruvian airline carrier Star Peru for all its in-country flights. Given that airlines reserve the right to change or withdraw airfares without prior notice, Mama Pacha Explorations DOES NOT guarantee that some changes on the airfare or departure times may occur.

In case of changes in airfare, Mama Pacha Explorations will assume the costs involved therein, within reason. In case of change in departure time, Mama Pacha Explorations will endeavor to provide the traveler with the necessary accommodations and assistance to access to the next available flight.

Flight departures and arrivals provided by Mama Pacha Explorations are subject to change without prior notice. Mama Pacha Explorations will monitor said changes and inform of them to the travelers.

In case of cancelation of flight by the airline carrier, Mama Pacha Explorations will provide the traveler with the necessary assistance to properly and safely access the next available flight.

Mama Pacha Explorations assumes no liability in case of delay or cancellation of a flight caused by inclement weather, the actions of airport traffic controller, workers, authorities, or by the actions of local officials, the rescheduling of flight by the airline, overbooking of a flight, mechanical breakdown, strikes, or any other reason.

Flight bookings ARE NOT transferable.


12.  Baggage Disclaimer

Mama Pacha Explorations will make every effort to provide a proper and careful handling of the traveler’s luggage. However, Mama Pacha Explorations is not to be held responsible for and does not assume liability or accept claims for loss of or damage to luggage due to breakage, theft, wear and tear through hotel and group carrier handling.


Checked Bags

For all in-country flights, checked baggage is the one that has been previously checked in at the airport and sent to the cargo compartment of the aircraft.

The baggage allowance for each passenger is 25 kg (55 pounds), distributed between a maximum of 2 items of luggage for each passenger. Baggage items must not exceed the following dimensions: 29.5 inches high, 17.7 inches long, and 13.7 inches wide.

Excess baggage

Any baggage amount that exceeds the maximum baggage allowance permitted is considered baggage excess. It can be ultimately transported prior payment of USD$1.77 (sales tax incl.) per each extra kilo (2.2 pounds).  This fee is levied by the airline, not Mama Pacha Explorations, and may be subject to change.

Baggage and personal effects are the sole responsibility of the owner at all times.


13.  Our Responsibilities

Neither Mama Pacha Explorations, LLC., its affiliated entities and its and their employees, agents, tour operators, and officers (collectively “Mama Pacha Explorations”), own or operate any entity which is to or does provide goods or services for our tours.

Mama Pacha Explorations does not operate the personnel, equipment, or operations of these suppliers it uses and as such Mama Pacha Explorations assumes no liability for and cannot be held liable for any personal injury, death, property damage or other loss, accident, delay, inconvenience, or irregularity which may occur by any negligent, wrongful, willful or unauthorized acts or omissions on the part of the suppliers or other employees or representatives; also any defect in or failure of any vehicle, equipment, or instrument owned, operated or otherwise used by any of the suppliers, or any wrongful, willful or negligent act or omission on the part of any other party not under the supervision and control of Mama Pacha Explorations.

Clients shall indemnify and hold harmless Mama Pacha Explorations, LLC., its affiliated entities and its and their employees, agents, tour operators, and officers from all suits, actions, losses, damages, claims or liability for any personal injury, death, property damage or other loss, accident, delay, inconvenience or irregularity which is occasioned by any negligent acts or omissions of Mama Pacha Explorations arising out of any goods or services provided for the tours.

Similarly, Mama Pacha Explorations accepts no responsibility for losses or expenses due to sickness, lack of proper medical facilities or healthcare practitioners, weather, strikes, theft or other criminal acts, war, terrorism, computer problems, or other causes.

Participants may be photographed for the promotional purposes of Mama Pacha Explorations. Payment of the deposit to Mama Pacha Explorations constitutes acceptance of these terms and conditions.
